Privacy & Policy

This policy governs the terms of participation in Game Time Sports Services L.L.C (GTS) programs. By registering, you (the parent/guardian or participant if over 18) agree to the following:


1. REGISTRATION POLICY

Online Registration Required

All participants must complete registration through the official GTS online platform prior to attending any sessions. This ensures accurate rosters, safety compliance, and insurance coverage.


Enrollment is First-Come, First-Served

Registration is only confirmed once full payment is received. Space is limited and not guaranteed without payment.


Waiver & Policy Acknowledgment

Participation requires agreement to the Waiver and Release of Liability, along with acknowledgment of GTS's Child Safeguarding Policy and Health & Safety Guidelines.


Group Placement

Athletes will be assigned to groups based on age, skill level, and coach recommendation. GTS reserves the right to adjust groupings for safety and development.


Medical & Emergency Information

Parents/guardians must provide accurate medical history and emergency contact information at the time of registration. Disclosure of any health conditions is required.


Free Trial Policy

Players requesting a trial session must complete online registration and agree to the waiver. A trial does not guarantee a place. Enrollment is subject to availability and payment.


2. PAYMENT & CANCELLATION POLICY



Payment Before Participation

  • All training fees must be paid in full before participation.
  • Installment plans are only permitted if pre-approved in writing by GTS.
  • No payment = no participation.


Accepted Payment Methods

  • Bank Transfer
  • Online Payment (2.9% processing fee applies)
  • Card Machine (2.9% processing fee applies)
  • Cash (limited and subject to prior approval)


Installment Plans

  • Available only upon request and approval
  • Must be confirmed in writing before the term begins
  • Failure to follow an agreed plan may result in suspension until balance is settled


Late or Failed Payments

  • Late or failed payments may result in temporary suspension
  • Continued non-payment may result in removal from the program
  • Reinstatement requires full settlement of outstanding balances


Chargebacks & Payment Disputes

  • Chargebacks or disputes may result in immediate suspension
  • Disputes must be resolved before returning to training
  • Administrative or processing fees may be charged


Refunds & Credits

  • All payments are non-refundable once a program has commenced
  • Missed sessions are not eligible for refunds or credits
  • Exceptions apply only where required by law or approved in writing by GTS


Medical Exceptions (Credits Only)

Credits (not refunds) may be considered at GTS discretion if:

  • A valid doctor’s note is submitted within 7 days
  • The participant is unable to train for 2 or more consecutive weeks
  • Credits are:
  • For future GTS programs only
  • Non-transferable
  • Valid for 6 months

Short-term illness or single-session absences do not qualify.


Long-Term Medical Inability

  • If medically certified unable to participate for 6+ months,
  • a partial prorated refund may be considered at GTS discretion
  • Applicable administrative, staffing, and facility costs will be deducted
  • Refunds are not guaranteed
  • No refunds once a term is completed


Session Validity & Rollover

  • All sessions must be used within the registered term or camp
  • Sessions do not roll over to future terms
  • Missed sessions cannot be rescheduled or transferred


Facility Closures & Force Majeure


  • Refunds will not be issued for:
  • Weather-related cancellations
  • Facility closures
  • Government or regulatory restrictions
  • Events beyond GTS control
  • Training credits may be issued at GTS discretion


Policy Acceptance

  • By completing payment, you confirm that you have read, understood, and agree to this Payment & Cancellation Policy.
